Program Coordinator (Temporary Maternity Leave Position)

Roles & Responsibilities:

Established in 2003, Cornerstone Family and Youth Centre (CFY) is a non-profit, charitable organization offering positive educational and recreational programs and activities for children, youth, young adults and families within the community of Carlyle and surrounding area.

The CFY Program Coordinator works with the community, parents and their children.  The CFY Program Coordinator will initiate and coordinate various programs in the community of Carlyle and surrounding rural area and will execute and promote the duties described below for the position by CFY.

The Ideal Candidate Has:

  • Grade 12 or GED Equivalent.
  • 1-2 years experience in a relevant field (education, social services, early childhood education, educational assistant, childcare, family services, non-profit sector or community/volunteer programming or similar).
  • A valid drivers licence and reliable personal vehicle with extended liability insurance.
  • A Criminal Record Check for Vulnerable Sectors must be submitted.
  • Computer skills and experience with Microsoft 10, Outlook, Explorer, Word, Excel and Publisher.
  • Social Media skills and experience with WordPress, Facebook, Twitter and Instagram.
  • Adequate communication skills, including written and verbal
  • A demonstrated understanding of budgets
  • Ability to establish and maintain effective community partnerships
  • Solid organizational and management skills. Ability to work with minimal supervision, problem-solve and trouble shoot.
  • Excellent communication (written and oral) communication skills. Ability to prepare written and oral reports to CFY.


  • Standard first aid/ CPR C AED training is an asset.
  • Additional training in literacy programming, coaching or other training certificates is an asset.
  • Previous experience working with non-profit boards
  • Previous grant writing experience is an asset.


Reporting to the Board of Directors, the Program Coordinator is expected to:

  • Develop and implement fundraising activities.
  • Find and write grants.
  • Program Development—including development, site selection, planning, publicity implementation and evaluation.
  • Select, schedule, monitor and supervise staff and volunteers as needed.
  • Work within the assigned budget; adjusting as necessary to reflect revenue and expenses.
  • Keep accurate and confidential records of program registration and user attendance.
  • Work with community partners and foster new partnerships where possible.
  • Prepare and submit monthly written and oral reports to the board of directors and funders as required.
  • Attend CFY board, committee and partner meetings as necessary.
  • Work occasional evenings and weekends.
  • Use their own vehicle to occasionally transport children

Specific Deliverables:   35 – 40 hours per week

Office hours = 50 %:

  • Program planning and prep
  • Publish regular web, social media and newsletter updates
  • Advertise organization updates through posters, e-mail list, newspaper, radio and community partner organizations.
  • Liaise with the community partner organizations to offer a broad range of programming with limited duplication of services.
  • Apply for grants and spearhead fundraising efforts through events, sponsorships and partnerships
  • Administrative, reporting and janitorial duties as required
  • Supervision, scheduling of staff and volunteers as required
  • Professional development relevant to the position – ongoing with the approval of the CFY Board
  1. Program Delivery =50 %:

Delivering high quality and needed programming including, but not limited to:

  • Baby Boxes, Books for Babies, Literacy Kit development (on-going)
  • Family Room Programming (Twice Weekly Drop-in and Play & Parent Hour)
  • Literacy and Family Events (As scheduled by Coordinator)
  • Partner events such as IMPACT, Main St. Mobile, Community Baby Showers (As requested by partner organizations)
  • At Home Alone Safety Class (As scheduled by Coordinator & School Community Liaison)
  • Babysitting course (As scheduled by Coordinator)
  • Girls Group classes from Gr 5-12, Mentor Meetings, Special Events & Field Trips (Twice weekly and as scheduled by the Coordinator and School Community Liaison)
  • No school day events (As scheduled by Coordinator & School Community Liaison)
  • Winter/Spring break programs (February, April)
  • Tween/Teen and Youth events (As scheduled by Coordinator)
  • Parent workshops (As scheduled by Coordinator)
  • Halloween Fair (Saturday before Halloween)
  • Festival of Trees (First Weekend in December)
  • Daily Summer Camp (July & Aug)
  • Mini Camp (3rd week in August)
  • Additional programs and events as scheduled by the Coordinator and CFY Board


Term = One-year Maternity Leave coverage from May 1, 2018 – May 1, 2019

Summer Program  Leader Job Description – Full Time 40 hours per  (estimated start date June 4th, 2018)

As directed by the Program Coordinator, the Summer Coordinator organizes, promotes and delivers activities for children attending the CFY Summer Club program within the community of Carlyle and surrounding area.

Required Qualifications:

  • A valid drivers license
  • Standard first aid training (an asset) Must be returning to Post Secondary School Fall 2017


  • Excellent interpersonal skills, ability to work as both a team leader and member
  • Ability  to promote programs,  maintain rapport with community groups and inspire confidence
  • Solid organizational and management skills
  • Excellent communication (written and oral) skills.
  • Computer skills and prior standard first aid training are assets
  • Awareness of and sensitivity to social economic and other issues that have an impact on populations in the community.
  • Ability to prepare written and oral reports as needed.
  • Ability to promote self and program, cultivate success stories, maintain rapport with all community groups and inspire confidence.
  • Ability to problem-solve and trouble-shoot.
  • Ability to work with minimal supervision – has initiative and acts independently
  • Prepared to work some irregular hours and weekends


  • Plan, implement and evaluate activities for CFY Summer Club
  • Schedule facilities required for program delivery, janitorial duties as needed
  • Ensure program has adequate resources (people/materials) to succeed.
  • Publicity and marketing of programs and events through bulletins, newsletters, Facebook and our website
  • Liaison between community groups and foster partnerships where possible
  • Attend CFY summer board meetings
  • Prepare short written and oral reports that measure the effectiveness of plans, programs and policies
  • adhere to and monitor budget for program supplies

  • With Supervision from Carlyle Leisure Complex Manager, Carlyle Library Coordinator and Rusty Relics Museum Coordinator.

Summer Program Assistant Job Description – Part Time 20-24 Hours/Week (Jun 28 – Aug 24)

Roles & Responsibilities:

Must be 15 or older and returning to High School or Post Secondary in Fall 2017

The Summer Assistant will work with the CFY Summer Program Coordinator, other staff and volunteers to plan and operate the CFY Summer Club. The Summer Assistant is responsible for the additional supervision of children, prep and clean-up duties and must be prepared to lead and participate in activities at the CFY Summer Club


Our Program Assistant will possess:

  • Excellent interpersonal skills, ability to establish and maintain effective working relationships and to work as a team member.
  • Ability to promote self and program, maintain rapport with children and parents, and inspire confidence
  • Genuine respect, caring and empathy for children and families
  • Ability to work with minimal supervision, problem solve and trouble shoot.


  • Provide quality supervision for children
  • Interact and play positively with children and other staff
  • Assist with program preparation and clean up
  • Assist with fundraising efforts
  • Additional duties as required
